How to Follow Up After No Response: Timing + 5 Templates

Most replies come from the follow-up, not the first email. How long to wait, how many times to try, and five short templates for Indian B2B buyers.

Wait three to four working days, then send a short follow-up that adds one new, useful thing — not "just checking in". Try three or four times over two to three weeks, spacing each attempt a little further apart, and make the last one an easy way out. That is the whole method. The rest of this article is how to do each step without sounding needy or pushy.

Silence is rarely a "no". In Indian B2B sales especially, the person you wrote to is usually not the only decision-maker, the email arrived during GST week, or they meant to reply and it slid down the inbox. A follow-up is a service to a busy buyer, as long as it is easy to answer.

How long to wait

  • After a first email to someone new: three to four working days.
  • After sending a quotation: two working days — they asked for it, so a quick nudge is expected.
  • After a meeting or call: same day for the summary, then three days if there is no reply.
  • Between later attempts: stretch the gap — four days, then a week, then ten days.

Avoid Monday mornings and the last two days of the month for finance contacts, and steer clear of the GST and TDS due dates if you sell to accounts teams.

How many times

Three or four touches is the reasonable ceiling for someone who has never replied. Beyond that, you are no longer reminding them, you are training them to ignore your name. The exception is a live opportunity — someone who asked for a quote — where you can keep going on a slower cadence for as long as the deal is real.

Five templates

Keep every follow-up in the same email thread, so the reader sees the history without scrolling for it. Each one below is under 80 words on purpose.

1. The first nudge (adds a detail)

"Hi Priya, following up on my note from Tuesday. One thing I left out: we have set this up for two other CA firms in Pune, and the first week usually goes on importing the client list. Happy to share how that went if useful. Would a 15-minute call on Thursday work?"

2. After a quotation

"Hi Rakesh, sharing the quotation again in case it got buried. If the scope or the payment terms need changing, tell me which line and I will revise it today. The rates hold until the 15th."

3. The question that is easy to answer

"Hi Anjali, quick one: is this something you are looking at this quarter, or should I come back after Diwali? Either answer helps me."

4. The useful resource

"Hi Suresh, not a sales note: here is the checklist we use to check a vendor's GST invoice before booking it. Thought it might save your team some back-and-forth this month."

5. The polite close

"Hi Meera, I have not heard back, so I will assume the timing is not right and stop writing. If that changes, just reply to this email and I will pick it up from here. Thank you for your time."

The last one gets more replies than people expect, because it removes the pressure and asks for nothing.

What not to do

  • Do not write "just following up" with nothing new. It asks the reader to do work for you.
  • Do not send the follow-up from a different address or as a new thread.
  • Do not follow up someone who asked you to stop, or who unsubscribed. Respect that immediately.
  • Do not switch to WhatsApp uninvited because email went quiet. Many buyers treat that as an intrusion.

A test you can run this week

List every quotation or proposal you sent in the last 30 days and mark the ones that never got a reply. For each, count how many follow-ups went out. If the most common answer is zero or one, the problem is not your pricing or your pitch — it is that nobody owns the follow-up, and it happens only when someone remembers.

That is the part software should take over. In Grovia, a follow-up is a task on the lead with a due date, so it shows up on someone's list instead of in their memory. For a batch of emails, you can set a follow-up that goes out a set number of days later only to people who have not replied, in the same thread when it is sent from an outreach mailbox, and the Marketing AI can draft the wording for you to read and edit before anything is sent. These follow-ups are email only.

Frequently Asked Questions

How long should I wait before following up on an email?

Three to four working days after a first email, and about two working days after sending a quotation the buyer asked for. Space later follow-ups further apart.

How many follow-up emails is too many?

For someone who has never replied, three or four is a sensible limit. After that, send a polite closing note and stop, unless they have an active enquiry with you.

What should a follow-up email say?

One new, useful thing and one easy question. A detail you left out, a relevant example, or a choice between two times works far better than asking whether they saw your last email.

Should a follow-up be a new email or a reply?

A reply in the same thread. The reader sees the context at a glance, and the history makes it clear you are continuing a conversation rather than starting a new pitch.

Can follow-up emails be automated?

Yes, as long as each automatic follow-up stops for anyone who replies or unsubscribes, and a person has read the wording before the sequence starts.
