HubSpot's free CRM is genuinely free and genuinely good. The decision that matters is what happens at the tier where it stops being free.

HubSpot's free CRM is not a trick. Contacts, deals, email tracking, forms, a decent interface — a two-person consultancy in India can run on it for years and pay nothing. Credit where it is due.

The thing to think about before adopting it is not the free tier. It is the shape of the path out of it, because that path is where the cost decision actually happens, and it usually arrives at the least convenient moment — when you are growing.

What changes when you outgrow free

The features that pull SMBs into paid tiers are typically automation, sequences, reporting depth, removing branding, and adding seats. These are priced for a global mid-market, and marketing tiers in particular price on contact volume — which means the cost curve is tied to how many people are in your database, not to how much revenue you earn from them. For an Indian SMB with a large contact list and modest deal sizes, that curve bends the wrong way.

Check current pricing yourself rather than trusting any article, including this one. The point is not a number; it is that the number scales on an axis unrelated to your revenue.

The India-specific gap

Whatever tier you land on, HubSpot will not produce a GST-compliant tax invoice with correct CGST/SGST/IGST treatment, because it is not an Indian billing product and does not claim to be. That work goes to Tally, Zoho Books or a billing app — which is fine, except it means the customer record now exists in two systems, and the quotation you sent from one has to be retyped as an invoice in the other.

Add the delivery layer — who is doing the work, how many hours it took, whether it was billed — and most Indian service SMBs on HubSpot are running three systems and a spreadsheet.

What to compare instead of features

Feature grids will not settle this, because HubSpot wins most of them on marketing and sales depth. Compare on these instead:

  1. Cost trajectory. What does this cost at three times your current contacts and twice your seats?
  2. Number of systems. After adoption, how many places does a customer's name exist?
  3. Retyping. How many times is the same line item entered between enquiry and paid invoice?
  4. India fit. Who produces the GST invoice, and does it know about your state?
  5. Delivery. What happens between "closed won" and "paid"?
