CRM With WhatsApp Integration: What to Check in India

Most 'WhatsApp CRM' claims mean very different things. The five questions that separate a real integration from a share button, and the rules Meta sets.

A real WhatsApp CRM integration does three things: it brings incoming WhatsApp messages into the CRM, it lets you turn a conversation into a lead, and it sends approved template messages from your own business number. Anything less — a "share on WhatsApp" button, or a link that opens WhatsApp on your phone — is a shortcut, not an integration. The distinction matters because in India the enquiry often arrives on WhatsApp first, and a lead that only exists in someone's phone is a lead the business does not own.

How WhatsApp integration actually works

Software cannot connect to the ordinary WhatsApp or WhatsApp Business app on a phone. It connects through the WhatsApp Business Platform (the API), either directly through Meta's Cloud API or through a Meta business partner such as Interakt, Wati, Gupshup or MSG91. That brings Meta's rules with it:

  • The 24-hour window. When a customer messages you, you can reply freely for 24 hours. After that, you can only send a pre-approved template.
  • Templates need approval. Messages you start — reminders, updates — must use templates Meta has approved, in categories such as utility or marketing.
  • Conversations are charged by Meta, according to its current pricing by category and country.
  • Opt-in. You need the customer's permission to message them first.

Five questions to ask any CRM that claims WhatsApp

  1. Do incoming messages arrive in the CRM, and does someone get alerted, or do they still live on one person's phone?
  2. Can a conversation become a lead with one click, keeping the thread attached?
  3. Does it send from your own verified number using your own Meta or partner account?
  4. Which messages go out automatically, and which does a person have to send? Ask for the exact list.
  5. What happens after 24 hours — does it prompt you to use a template, or let the reply fail silently?

The fourth question is where marketing and reality diverge most often. "WhatsApp reminders" can mean anything from fully automatic to a button someone has to press.

How Grovia does it

Grovia connects to your own WhatsApp Business account through Meta's Cloud API, Interakt, Wati, Gupshup or MSG91. Incoming messages arrive in a WhatsApp inbox inside Grovia, the team is alerted when one comes in, and an optional automatic first reply (off until you switch it on) tells the customer you have received their message. Any conversation can be turned into a lead.

Messages Grovia sends on WhatsApp automatically, using your approved templates: compliance reminders to a CA firm's clients, when the firm enables WhatsApp for them; and, in the IT and service module, alerts to clients when a ticket breaches its SLA or is resolved, and a notice when their AMC is about to expire. Invoice payment reminders work both ways: from the WhatsApp inbox, your team sends a customer the approved payment reminder or invoice ready template in one click, and the scheduled automatic reminders — with a Pay now link — go by email once you switch them on. Nothing is sent on WhatsApp until your account is connected.

Who does not need this

If WhatsApp is how you chat with five regular clients, the WhatsApp Business app on a phone is enough. The API and a CRM integration earn their cost when enquiries come from strangers, several people answer them, and you need to know which ones turned into business.

A test you can run this week

Count last month's WhatsApp enquiries from new people, and how many of them are recorded anywhere other than a phone. If the second number is close to zero, you do not know your conversion rate from your busiest channel.
